Job description: JOB DESCRIPTION Supervisory Tasks * Supervises the day-to-day activities of the team members * Ensure that all operational protocols and standards are implemented and followed in all the units assigned * Ensure that all valid statutory doc JOB DESCRIPTION Supervisory Tasks Supervises the day-to-day activities of the team members Ensure that all operational protocols and standards are implemented and followed in all the units assigned Ensure that all valid statutory documents are maintained in the respective unit Ensure that all the units are maintained well complying with the infection control protocols etc. Analyse variances and initiate appropriate action plans Responsible for implementing various cost reduction measures thereby directly contributing to the budgeted bottom line Monitor the business performance of the hospital (Revenue and Cost) against the budget and ensure that the targets under various heads are met with Co-ordinate with HR department in manpower planning, recruitment, reward and recognition, performance appraisals etc Ensure that all MEP services in hospital run in smooth order Prepare and send the periodical MIS report to the management on weekly and monthly basis Administrative Tasks Develops policies and procedures in support of the unit Evaluates work requests to determine if they are appropriate to this or another area. Ensures that work flow is organized and staffed for quality efficient completion. Communicates deadlines and special circumstances to the team Maintains equipment and supplies for the unit Completes evaluations of direct report employees Quality Improvement Improve the operational systems, processes and policies in support of organizations mission–specifically, support better management reporting, information flow and management, business process and organizational planning Create and ensure a customer friendly front office team with the best telephone handling practices Minimize the wastage and ensure effective utilization of resources Make use of Queue Management System effectively and review the reports. To take measures to reduce the patient waiting time Initiate deliberate and relevant measures to reduce the patient waiting time and smooth flow of patients through various departments Prevent from losses due to outsourcing Lab and Radiology services to external parties Business Development Achieve the organizational objectives in terms of Revenue, Brand Image, Business development and Market presence of the brand Review the performance of the unit and initiate necessary business development activities. Identify new business opportunities, both internally and externally, and use all the means and methods available to popularize the brand and expand the network Support the management through research on local market conditions, competitors activities and events affecting the business. Design out various marketing strategies in consultation with concerned team Focus on internal marketing to promote the services, specialties and the clinicians of each of the specialties Identify opportunities in each of the existing or upcoming facilities where, new departments and complementary departments can be started Develop financial statements and data and utilize them to improve profitability of the assigned units Customer Relations Management Responsible for on-time customer query/complaint resolution in coordination with the CRM team Ensure that the front office, nursing and administration team are trained to take patient feed backs, handle patient complaints and escalate it as and when required. All the patient complaints must be tracked and recorded for action and for future reference. Ensure that the team is fully thorough with CRM initiatives and it is implemented to the fullest extent Inventory Management and Quality Control Implement a system in consultation with the purchase department where all the inventories are tracked and monitored in the units Introduce the tracking of the movement of the consumables, medicines etc Bring in necessary change in the software in cooperation with IT department to streamline the inventory management. Monitor that all the products have high quality and longest possible shelf life Monitor hazard free environment in the assigned pharmacies Job interactions Interacts with external sources to coordinate work necessary to fulfill projects, keep abreast of new products and technologies, or arrange for subcontractors.
