Job Responsibilities:

  • Serves visitors by greeting, welcoming, and directing them appropriately.
  • Manage phone calls and correspondence (e-mail, letters, packages etc.)
  • Informs visitors by answering or referring inquiries.
  • Directs visitors by maintaining employee and department directories.
  • Operates telecommunication system by following instructions for house phone and console operation.
  • Create and update databases and records for financial information, personnel, and other data.
  • Manage agendas/travel arrangements/appointments etc. for the upper management.
  • Supports company operations by maintaining office systems and supervising staff.
  • Supports continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
  • Completes operational requirements by scheduling and assigning employees and following up on work results.
  • Maintains office services by organizing office operations and procedures, controlling correspondence, designing filing systems, reviewing supply requisitions, and assigning and monitoring clerical functions.
  • Keeps a safe and clean reception area by complying with procedures, rules, and regulations.

Qualifications:

  • Proven experience as an office administrator, office assistant, receptionist, or relevant role
  • Outstanding communication and interpersonal abilities
  • Excellent organizational and leadership skills
  • Familiarity with office management procedures
  • Excellent knowledge of MS Office software
  • Qualifications in secretarial studies will be an advantage
  • BSc/BA in office administration or relevant field is preferred
  • Must be immediately available
