Job Responsibilities:
- Serves visitors by greeting, welcoming, and directing them appropriately.
- Manage phone calls and correspondence (e-mail, letters, packages etc.)
- Informs visitors by answering or referring inquiries.
- Directs visitors by maintaining employee and department directories.
- Operates telecommunication system by following instructions for house phone and console operation.
- Create and update databases and records for financial information, personnel, and other data.
- Manage agendas/travel arrangements/appointments etc. for the upper management.
- Supports company operations by maintaining office systems and supervising staff.
- Supports continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
- Completes operational requirements by scheduling and assigning employees and following up on work results.
- Maintains office services by organizing office operations and procedures, controlling correspondence, designing filing systems, reviewing supply requisitions, and assigning and monitoring clerical functions.
- Keeps a safe and clean reception area by complying with procedures, rules, and regulations.
Qualifications:
- Proven experience as an office administrator, office assistant, receptionist, or relevant role
- Outstanding communication and interpersonal abilities
- Excellent organizational and leadership skills
- Familiarity with office management procedures
- Excellent knowledge of MS Office software
- Qualifications in secretarial studies will be an advantage
- BSc/BA in office administration or relevant field is preferred
- Must be immediately available
